BUILDINGS AND GROUNDS MINISTRY MEETING

Opening Prayer by Bob Paul
Attendees: Bob Paul, Jean Rhodes and Charley Yaryan
Excused: Jon Bernard Nganou while becoming a new father, Donna Mathis for a well deserved vacation.
Old Business
· Overhead light in West Side of Sanctuary still requires reinstallation of a diffuser. Charlie Yaryan volunteered to take care of this deficiency within the next three weeks.
· Columbarium project is progressing. A presentation will be made to Session at the next meeting by Alex Burr as a part of the Buildings and Grounds report.
· Door tampering issue. No new activity. No further reports of problems.
· The alarm in Watkins Hall was disabled.
· The sprinkler head near the Sanctuary West Side was replaced.
New Business
· The refrigerator in the Kitchen was discovered to be out on Sunday, May 11, 2008. It was repaired the following Monday. We will follow-up on the failure mode (Jean Rhodes.)
· Received an assignment from the Administration Ministry team to inspect and inventory all folding chairs and tables sometime in the month of May. This will be handled as a workday project.
· A workday was planned for June 7. Jean will ask for a slot on the worship program for June 1, 2008 Charlie Yaryan will make the presentation. A list of projects was considered but is expected to be supplemented.
· It was reported that the sprinkler system was not properly covering the Quadrangle. The grounds keepers were asked to check out the system. They worked on the system but the results may still be unsatisfactory. Bob Paul will follow up on this.
· In discussing the need for upgrading the care of our rest rooms, it was recommended that we investigate need for installing automatic door closers on the Watkins Hall rest rooms. Jean will explore whether this is a problem for the younger children.
· A request was made for Repair of the gate latch, just south of Reeves Hall. The latch was repaired.
· Discussed a policy to be sure that clean rest rooms become a hallmark of our facility. We will look at putting signs in rest rooms asking for reports on problems. Donna will handle this project. Team members will become more active in inspecting and if necessary doing some cleanup as needed.
· Revise the Work Order Form to show the names of the team and their responsibilities. Bob Paul will do this.
· Establish a chain of responsibility to be employed when some members of the team are not available to handle emergencies. The work order forms will be updated showing Bob Paul as Chairman, Charley Yaryan as co-chairman, Donna Mathis as Vice –chairman, and Jon Bernard Nganou as Secretary. Using the Work Order Request, members needing help can step down the list of B&G members until one is contacted who can take action. Bob Paul has the action for this task.
· Search for phase II plans. Plans will be handy for the columarium project. The plans were located.
· We will investigate a means of keeping the refrigerators from being moved against the wall in the kitchen. The problem is ventilation and cleanliness. Bob Paul and Charlie Yaryan will do this.
