DEACON MINISTRY TEAM MINUTES

March 19, 2009

 PRESENT: Moderator Clint Woodward, Rev. Norm Story, Mark Geiger, Ken Osborne, Marianne Maley, Rosemary Maddox, Mike Bartholomew, Austin Breck, Rusty Smith, Dylan Anderson,  Theresa Armendariz, Paul Vaughan, and guest Wayne Maley.

 EXCUSED:  Winnie Quinzi, Janice Sherman, Martha Mitchell, and Lynn Lawson-Jones.

 ABSENT: Olivier Heubo, Cindy Tafoya, and Jean Bernard Nganou.

 The meeting was opened with prayer by Rusty at 7:00 p.m.

 APPROVAL OF MINUTES: The minutes of the February 19th minutes were approved as submitted.

 PASTOR'S REMARKS: Pastor Story said the Shepherds Program is the most important task the Deacons have, and he expressed appreciation for the faithfulness with which this task is being carried out.

 In answer to Marianne's question, Clint said Deacons will be asked to report quarterly on their activities in the Shepherds Program, starting next quarter.

 MODERATOR'S REMARKS: Clint welcomed two new Deacons, Theresa Armendariz and Paul Vaughan. Other Deacons introduced themselves, stating their names and status in the rotation. Clint also welcomed Wayne Maley, a guest from the Session. Clint thanked the Deacons for their diligence in carrying out their assignments.

 CORRESPONDENCE: Marianne received a note from Virginia Daniel expressing her pleasure that Rev. Story paid her a visit.

 TREASURER'S REPORT: Janice was not present but sent a report showing an income/expenses balance of minus $80.21 for the months of January and February.

COMMITTEE REPORTS:

 Ushering:  Rosemary. Ushering is going smoothly. The question was raised whether a non-Deacon can serve as usher. It was the concensus that this is permissible, but a Deacon stay near and be ready to provide assistance if needed. Ken Osborne volunteered to provide this service.

            Mark said he felt that all Deacons should wear nametags when ushering. Clint will see that nametags are printed up and made available to those Deacons who don't have one

 Transportation:  Rusty.  Both of the vans will be in use for the Youth trip on Sunday, June 28. It will be necessary for drivers to provide their own vehicles on that day.

 Special Events:  No report.

Soup Kitchen:   Rosemary.  On Wednesday, March 11th, 221 people were fed. There was plenty of food and adequate staff. The Soup Kitchen needs clean pint or quart glass jars, with lids, in order to give leftover soup to clients.

Transient Meals:   No report.

Visitation:  Marianne. She needs a list of people who need visiting and needs to know who is going to do it besides her. Paul volunteered to serve on the Visitation Committee. Cindy Tafoya does hospital visits.

Building & Grounds:  Ralph.  There will be a half-day work session on April 18, 8:00 a.m. to noon, and Ralph asked that people keep that date in mind. Clint is creating a booklet for kitchen cleaning and sanitation; the kitchen is subject to inspection because of the nursery.

            City Police have issued warning citations for people who are parking in the disabled parking spots. Ralph said they are in the process of changing the setup. Instead of having official handicapped spots, there will be signs saying "Sunday Only." It is Rusty's opinion that this may not be permitted because of City Codes.

Congregational Life: Rusty. On April 26 there will be a hymn sing and a salad luncheon in the courtyard soon after services.  A campout at Aguirre Springs for Saturday and Sunday, May 29 and 30, is in the planning stages.

Christian Education:  Teresa. Vacation Bible School starts on June 8, and teachers are needed.

Missions:  Rosemary. The Missions Ministry Team has articulated its goals for the coming year, and has made plans for One Great Hour of Sharing, to take place on Easter Sunday.

Music & Worship:   Wayne. He asked that ushers not return used children’s bags to the pegs, but put them in the box in the Deacons' Room. Dylan said there are not enough bags on the west side, where most of the children enter. This will be taken care of.

            Wayne asked for feedback on communion or any other aspect of the service. There will be communion by intinction on Maundy Thursday. On Palm Sunday there will be a processional involving the children's choir and the adult choir. He asked that people giving a Minute for Missions or making an announcement sit on the front row. 

Administration:  Ken. They have been working on financial statements, and everyone will soon start receiving more data. Groups that want to use Watkins Hall during the holidays should have their request in by the end of September.  

            Clint added that there is a new sheet for handling expenditures, that the moderator of each committee has to sign off on its purchases.

 OLD BUSINESS:  None

 NEW BUSINESS: Mark. Softball will be starting shortly, and people are needed to play on the team. Season starting date and other information will be available soon.

            Clint: We are planning Habitat for Humanity Projects and a volunteer is needed to head up the project. Austin said he will look into this and bring his findings back to the next meeting.

 ADJOURNMENT: At 7:55 p.m. the meeting was adjourned to April 16th with the Mizpah Benediction.
