Administration Ministry Team

Minutes for meeting of September 14, 2010

 Present:  Joan Rawson, Mike Bartholomew, Gene Christensen; Carl Connor, Mel Parish

 Absent: Ken Osborne. Pastor Story briefly joined the meeting about 7:25 p.m.

 Meeting called to order a 7:02 p.m. by Carl Connor; Mel Parish opened the meeting with prayer.

 Minutes of the 8/10/10 meeting approved with the modification of inserting the amount of $7,800 into the discussion to the organ repair to read:

 “Because of the importance of the organ in worship at our Church, the Administration Team unanimously recommends to Session that repairs to the organ not to exceed $7800 be authorized.”

 Old Business

 ·         Status of this year’s budget:  As of the close of August, the church recorded $299,083.80 in income and $285,827.22 in expenses for a net budget income of $13,256.58.  This church started the summer in a good position.  Like July, there was a net deficit for August that amounted to $5,014.54.  It was anticipated that income would be lower and expenses higher during the summer, with July being the worst month financially.  The fact that the church got through July and August yet remained “in the black” shows that the current fiscal year budget is on track.  All of the Ministry Teams are commended for the efforts they have taken to manage their budgets.

·         Discussion of networking church computers:  No progress to report. 

·         Seeking cost savings on church insurance:  No progress to report

·         Getting a church credit card that is not under Norm’s name:  Joan will be checking with another church or churches to see how they arrange for credit cards.

·         Request from Music and Worship to repair organ:  Repair of the church organ is being arranged by Music and Worship.  The cost will be $7,700; of which half will be paid up front to cover parts costs.  The repair work, including the previously scheduled tune-up will start in late October.

·         Stewardship campaign:  Carl asked Norm to include a Minute for Mission this coming Sunday.  Carl will speak briefly about the upcoming Stewardship Sunday and ask for volunteers to help with this year’s campaign.

·         [Norm joined the group about 7:25.  He informed us that Steve Hardin was in the hospital with a broken hip.  He also asked us to think about purchasing some new folding chairs for Watkins Hall as a number of chairs need repair and we do not have enough chairs to easily accommodate the large number of kids and adults attending Salt & Light so far this fall.  Gene advised the Team that as a veteran, he gets a 10% discount at both Lowe’s and Home Depot.  We will be reviewing the cost of purchasing the replacement chairs locally.]

 New Business

 ·         Building use request:  No new building use requests to discuss.  Carl advised the Team that we had received a generous donation from a church member who recently used church facilities for a group meeting.  The Team voted to add this gift to the Congregational Life budget for use as they see fit.

 ·         Other new Business:

·         A reminder that the Administration Team is responsible for the after Church Fellowship this Sunday, September 19, 2010.

·         There will be a quarterly budget meeting of team moderators on October 19 at 6:00 pm prior to the Session meeting.

·         A church member has been conducting an independent review of the Church’s financial records through the end of 2009.  The results of this review are expected in mid-September and will be discussed at the October Administration Team meeting and will be presented to the Session at our meeting on 19 October.

·         The Administration Ministry Team was advised that Randy W. Calkins has been hired as the weekday janitor for the church, and Mike McClanahan will continue providing support on Sundays.

 

Meeting adjourned 8:00 p.m. followed with a prayer by Carl.

 

Next Admin Team meeting is October 12, 2010, at 7 PM.
