MUSIC & WORSHIP MINISTRY TEAM

September 11, 2012 – MEETING MINUTES

Attendance: Gena Breck, Florence Hamilton, Lloyd Kirschenmann, Wayne Maley, Neil Moe,

Jacque Parks, Jim Parks (Moderator), Greg Sherman, Howard Smolleck, Norm Story, Marsha Topley, Harry Topley

Jacque opened the meeting with prayer at 7:01 PM.

Minutes of the August 14 meeting were accepted with the communion attendance report edited as below.

Budget discussion noted Flower/Decorations expenses have exceeded annual budget. See further details below.

Rev Dr Story reported that the Rev Carol Blevins will become Parish Associate for Pastoral Care. In view of rehabilitation from his broken arm, Rev Dr Marcus Burr will limit his pastoral care role. The Rev Dr Wayne Hawkins is leading the October 7 World Wide Communion service with Iglesia del Pueblo and Faith and Fellowship congregations joining the 10:30 AM worship.

Reports from regular activities included:


Choirs: David has a Tuesday evening conflict with his Master Works Choir rehearsals. There have been many compliments for the bells and choir return on September 9. Four choral scholars are now participating with the Chancel Choir. Two openings remain for bell choir players.

Organ & other instruments: When tuning of the instruments is scheduled later this fall, Howard will request quotes for repairs to parts that are beginning to show wear.

Worship support: Liturgists, young disciple leaders and sound/av teams are scheduled. Max and Evan Schroeder will operate sound for the Womens’ Retreat. Young disciple leaders (and sound operators) have been turning microphones on more effectively. Delays continue for some liturgists to get to a microphone.

SESSION REPORT: Included here is an update to the August minutes. Communion was served on July 8 to 206 (Including 25 at Faith & Fellowship), on August 5 to 183 (includes 27 at Faith & Fellowship) and on September 9 to 210 (includes 29 at Faith & Fellowship).

Sound/AV: Howard has moved the computer and related digital equipment for recording of services to the sound control loft. Harry is to ask John Grandle to connect the computer to the sound board (or recommend someone who can). Howard has written operating instructions that can be used after installation is complete. Volunteers are to be sought to help format CD’s and make copies.

Sanctuary Decorations: This budget item (20411) has a negative balance because flower purchases have been charged to the annual budget while income from sponsored flowers is held with designated funds. Moderator will move purchase charges from annual budget to designated. At Easter time 64 flowers were purchased, enough funds for 68 flowers were sponsored (some donations were for more than suggested cost of $6.40 per flower). Marcia is to coordinate order for Christmas/Advent flowers with Linda and our decorator as per last month’s M&W minutes. It was agreed to decorate the sanctuary for Advent on Saturday, December 1.

Trunk or Treat: The Team agreed to again sponsor a “Pumpkin Carol” sing. Marcia and Wayne will coordinate our participation on October 31.

SESSION ACTION: A motion was passed to endorse a presentation in our sanctuary on Sunday evening, October 21, and a free will offering to be taken to support a missionary in Honduras. The presentation on the musical and visual arts in worship will be led by Karen Lafferty at conclusion of her weekend with Renewal 4 Women.

Faith and Fellowship: Will set up and donate to a college outreach night, Friday, September 21, at The Bridge. Julie Hellman is coordinating. The F&F band will participate.
