Congregational Life and Outreach Committee Minutes

Tuesday, September 8, 2009    7:00 p.m.

MINUTES

Present:  Carissa Brealey-Rood, Larry Felhauer, Pat Felhauer, Kathy Story

 Open and close with prayer

 I.                    International Potluck

a.      We will be advertising the potluck through the usual means (bulletin, Good News, announcement in church on 9/27).  Additionally, Larry will speak with Alex to see about getting something put on the front page of the church website.

b.      CL&O will be sharing this event with the In Betweeners, so Larry and Pat will speak with them about possible help setting up and cleaning up.

c.      The committee will not be providing a dish for this event.  We will provide drinks and paper serving products while the congregation will provide dishes from around the world.  We will not be having a sign up sheet or be putting out a request for certain types of dishes.

d.      For decorations, we will be using maps and flags.  Kathy will check to see if she still has flags made up from last year’s international potluck, and we will check to see what kind of decorations the church already has (i.e. banners, flags, maps).  Pat will make tent cards to place on each table, dividing dishes by continent.

e.      As Kathy and Carissa will be out of town during this event, help will be needed for set up and clean up.  In addition to checking with the In Betweeners, we will check about getting help from the Deacons and the youth.

f.        Carissa will contact Linda to get event on calendar, and to find out how far in advance we can set the tables up.

g.      We had initially thought we’d provide international breads to use during communion during church on this particular Sunday (i.e., tortillas, Swedish bread, Colombian arepas), but we agreed not to pursue this unless we are requested to do so by the M&W committee. 

II.                 Thanksgiving Dinner in November

a.      We definitely want to hold this event.  Schedule for Nov. 15th at 5:00 p.m.  Two keys to making this event successful are getting enough help and getting people to RSVP. 

b.      We will put a Save the Date out within the church right away; Larry is going to check on advertising in the Roundup to bring in some of the college students.

c.      We will put up a poster board so members of the congregation can sign up to bring a particular Thanksgiving dish.  Kathy is going to speak with Jacque Parks about how much of each item might be needed for ~150 people.

d.      Carissa will speak with Deacons about help with this event.

III.               Visitor Gift Bags/Identification

a.      Not including this past Sunday (9/6), seven bags have been given out.  They are now being left at the church and the supply replenished as needed.

b.      No feedback yet from visitors to tell whether or not the bags have helped with retention.

IV.              Name Tags

a.      Larry created name tags for all the elders and put them in their mailboxes.  The intent is for them to be worn every Sunday at church to help visitors better identify us, and to make us more approachable.

V.                 Past Events

a.      Blessing of the Backpacks: BOTB went very well.  Great turn out, and a busier than usual fellowship hour following the service, largely due to the ice cream we believe.

VI.              New Business

a.      Idea for next year:  Kathy pointed out that many people in our congregation have recently celebrated milestone anniversaries.  An idea for an event next year is a Newlywed Game Show event, where we provide desserts and small prizes.

b.      Advent devotionals:  Susan Grandle sent an e-mail to the CL&O committee requesting that we take over responsibility for the Advent devotionals that are given out in church in December.  Tracy handled this last year.  After much discussion, CL&O questions whether or not we are the correct committee to take this on – possibly CE or Worship would be more appropriate?  We have not budgeted for such a purchase.  Carissa took an action to discuss this further with Susan.
