Congregational Life and Outreach Committee Minutes

Tuesday, January 12, 2010  7:00 p.m.

MINUTES

Present:  Carissa Brealey-Rood, Larry Felhauer, Pat Felhauer, Kathy Story, Cindy Tafoya, Michelle Osborne

 Opened and closed with prayer

 I.                    Budget for 2010 discussion

II.                 After Church Fellowship

a.       Donna Mathis, who oversaw fellowship hour last year, has rotated off Session, and as of yet no one has been assigned this responsibility.

b.      Larry has taken the fellowship board and filled in the first two months of the year with Session committees.  He also created a list of other groups or special events that hosted fellowship hour at some point last year.

c.       We went through the calendar and tentatively filled in the Sundays of special events, and Larry will fill in the remainder of the board with Session committees on a rotating basis.

d.      We will put an announcement in the church publications asking for people to sign up to host a fellowship hour, and whenever someone volunteers, the pre-assigned Session committee will be relieved of that week’s responsibility.

e.       Kathy will take inventory of the fellowship supplies currently on hand.

III.               2009 Events to Hold in 2010?

a.       Sweetheart Dance – We decided not to hold this one because of the short time period in which we would have to pull it together.  Many of our committee members are unavailable Valentine’s weekend anyway.  Instead, we will hold a Prom Night event, date TBD at next meeting (March timeframe?)

b.      After Church Picnic & Hymn Sing – Yes, we will hold this one again in April 2010.  Date TBD at our next committee meeting.  We will also discuss whether or not to hold this event immediately after church or later in the afternoon.

c.       Easter Egg Hunt – We will hold this event again this year, most likely on Easter Sunday (4/4/2010).  Details TBD at a later date.

d.      Family Camping Trip – We will not repeat this event, as it had no attendees last year and was rather expensive.

e.       Summer Movies – These have been sporadically attended but are very inexpensive, so we will continue to host them at least once a month during the summer.

                                                               i.      We would like to publicize them more and use them as an outreach activity.

                                                             ii.      We will be adding food and target groups for each movie (i.e., one will be a kids movie with an ice cream party, one will target older kids and adults and will include pizza, etc.).

                                                            iii.      Someone also suggested having multiple movies going simultaneously in different rooms of the church. 

f.        Blessing of the Backpacks – Yes, we will do this event again in August, the last Sunday before school starts.

g.       International Potluck – Yes, we will continue to hold this event.

h.       Trunk-or-Treat – Yes, we will continue to contribute to this event.

i.         Thanksgiving Dinner – Yes, we will repeat this event.

j.        Others?

                                                               i.      Bingo Night with white elephant gifts as prizes

                                                             ii.      Back-to-school ice cream/pizza socials

                                                            iii.      Vow renewal ceremony

IV.              Other Business

a.       Photo directory

                                                               i.      It is about time to update our photo directory.  However, this is typically very expensive for the church and our budget does not include the funds for 2010. 

                                                             ii.      We will research options and costs.

b.      Permanent poles for banners in front of church

                                                               i.      Michelle brought to our attention the need for some permanent post holes in front of the church in which we can set up banners to announce events.

                                                             ii.      We agree that this should be done, but think perhaps the permanent holes that are in place could suffice until the electronic sign gets implemented.

                                                            iii.      If not, we think this is a Buildings & Grounds issue, not CL&O.  CL&O would provide signs/banners to announce their events, though, funds allowing.  Banners tend to cost ~$150 each, which is why we have not utilized this type of advertising more often in the past.
