Congregational Life and Outreach Committee Minutes
Tuesday, March 09, 2010 7:00 p.m.
MINUTES
Present: Carissa Brealey-Rood, Larry Felhauer, Pat Felhauer, Kathy Story, Bea Connor, Collette Waltz, Michelle Osborne
I. Photo Directory
a. Prior to the committee meeting, Larry, Carissa, Pat met with Abe Hernandez about potentially contracting with the Portrait Place to create a new church photo directory.
b. Our committee has not budgeted for a new directory, but we recognize the need to update the existing one. Olan Mills has done this service for us in the past. They did not charge the church for sittings or directories, but rather made their money from package sales.
c. The Portrait Place does not have any experience with this type of work, but is interested in expanding their business model. Abe has an appointment with their printing partner on 3/10 to discuss their pricing.
d. When trying to determine an optimal timeframe to set up sittings, Pat pointed out that package sales would be higher toward the end of the year, particularly if the company offered Christmas cards. Larry pointed out that around Thanksgiving many of the college students will be home and would be able to be in the photos. Abe said they could arrange it so that anyone who was unable to sign up for a church sitting could arrange to have their portrait taken at their studio. The holidays are a busy time, though… We will have to be creative about scheduling once we decide how to proceed.
e. Abe will be in contact with Michelle regarding pricing.
i. We also need to find out the cost of adding the non-photo directory pages to the back of the photo directory (for those members who didn’t have their portrait taken).
ii. If we do a 2011 photo directory with non-photo listings, we will not need to publish the regular annual directory. Carissa will check with Linda regarding how much those directories cost and who pays for them.
II. Short Term Events
a. Dance/Vow Renewal
i. Kathy suggested more people may be interested in a vow renewal ceremony/celebration than a dance.
ii. After much discussion, the committee decided to forgo the dance and concentrate effort/funds on a vow renewal ceremony that we will plan for June. We will discuss further at next meeting.
iii. We will replace the dance with a Bingo night as our April event.
1. However, the Presbytery will be at our church on the previously planned date (4/24), so we will move the event back one week to 5/1. Carissa will e-mail Linda to get this event on the calendar.
2. We want this to be a family event. We will make sure we have prizes for kids.
3. We will serve finger foods and try to have cards to hold up for players who are hard of hearing.
4. Larry will search online for game options.
b. Easter Egg Hunt
i. Choose locations for each age group
1. Kindergarten and under: playground
2. 1st and 2nd graders: rec. lawn between fence and playground
3. 3rd through 5th graders: rope off area of front lawn; post extra adults for supervise and make sure kids don’t wander outside designated area
ii. Supplies/preparations
1. The team will meet on 3/30 at 6:00 p.m. to fill eggs. Larry will order ~700 from Oriental Trading, and Kathy has ~250 she bought on clearance last year. We will ask congregation to donate egg fillings.
2. We need to provide some bags just in case kids forget to bring theirs. We’ll use the blue visitor bags.
iii. Gathering
1. We will invite the Spanish congregation to join us again this year.
2. To ensure that all the children are released at the same time, someone will escort the kids in the Spanish congregation over to the sanctuary for the end of our worship service.
3. Easter is communion Sunday this year, so all the kids will be in the sanctuary at the end of church. The kids will then meet at designated spots for the three age groups. Pat will make signs to designate the different meeting locations.
4. The kids will then be led as a group from their meeting places to the “starting line” and released to find eggs.
iv. Advertising
1. Michelle relayed a message from Norm that he’d like our committee to create a Holy Week ad that includes all of the church’s Holy Week activities. She had some information on the events, but Larry said he needed more details to make up an ad.
c. After Church Picnic & Hymn Sing
i. Firm up date – May 16th
